You’re not alone. Manging my giant plate of to-dos used to be a HUGE struggle for me! I didn’t have a method to prioritize my tasks or plan my day, so I was never prepared and always made decisions on a whim. This led to a lot of stress and procrastination, which made me feel like I never had any free time for my personal life. 

Finally, I learned how to create my own schedule and optimize when to do specific tasks. This made it so it took way less time to transition between tasks – I was never stuck not knowing what to do. Finding the best way to structure your day can definitely be a challenge, but with a little planning and discipline, you can easily master the art of daily planning and live your best, most organized life.

How to create a daily schedule

Step #1. Identify Your Most Important Tasks

First, write down a complete list of all the to-dos and tasks you have on a daily to weekly basis. This could include tasks you need to do for work, personal projects, and house chores.

Step #2. Write down the importance, energy demand, and average time it takes for each task

For each of the tasks you’ve written down, note how important and urgent they are to complete (low, medium, high). Then, take into account how much and what kind of energy (mental, physical, social, etc) you might need to use to do certain tasks. For example, if I had “workout” on my list, I would put med – high physical energy. Or if I had “write a blog post” on my list, I would put high mental energy. The last thing you’ll note is the average time you need to dedicate to each task.

By assigning these characteristics to your tasks, you can start to prioritize them and plan them for your day or week.

Step #3. Input these tasks into a calendar with time blocking.

Time blocking is a productivity hack used by some of the most successful people in the world. The concept is simple: divide your day into blocks of time, each dedicated to a specific task or set of tasks. This helps eliminate multitasking, allowing you to focus entirely on one thing at a time.

To do this, I highly recommend using a digital calendar (Google Calendar or Fantastical Calendar). However, feel free to do it on a calendar printout as well!

First, take a look at the tasks you’ve listed as the highest importance and create a time block for them in your calendar. For example, if you work a 9-5, create a calendar block for that.

Next, work your way down your list of tasks, based on importance. Note the type of energy it takes and where that would fit best into your calendar. You should plan to tackle the most important, high-energy tasks in the morning. I like to kick off my day with a workout and then jump into tasks that require deep work and critical thinking. I know that by dinner time, I’m both mentally and physically exhausted, so I plan to do low-energy tasks, like folding laundry then.

Make sure to take into account the energy demands of the different tasks you might have planned on each day of the week. For example, I like to do laundry on Thursdays, when I do an active recovery workout (instead of weightlifting) because I have more time and energy.

Step #4. Build breaks into your schedule.

Make sure to factor in short breaks between time blocks. This helps prevent burnout and keeps your energy levels high throughout the day.

Step #5. Regularly Update Your Routine

Remember, your daily routine should serve you and not the other way around. If your tasks change or your routine is draining you, make sure to revise it! Updating your routine based on changing needs or new tasks is incredibly important to stay productive and not burn out.
